To ensure a smooth and efficient process, we have established the following Appointment Scheduling Policy. This policy outlines the steps for scheduling, canceling and rescheduling appointments, and our availability.

Online Scheduling
Clients can schedule appointments through our user-friendly online booking system available on our website. The online system allows clients to view available time slots and choose the most convenient time for their appointment. To book an appointment online, please follow these steps:

2. Navigate to the "Services" section.
3. Select the type of notary service you require.
4. Choose an available date and time from the calendar.
5. Provide your contact information and any additional details required (be sure to indicate your request: in-person or remote visit.
6. Confirm your appointment and pay your deposits.

Availability
Our notary services are available during the following hours:
- Monday to Friday: 9:00 AM - 5:00 PM
We understand that some clients may require notary services outside of our standard hours. For after-hours or emergency services, please contact us directly at (223) 234-8312 or info@eliteenotary.com to discuss your needs. Additional fees may apply for services provided outside of regular business hours.

Confirmation and Reminders
Upon scheduling an appointment, clients will receive a confirmation email or text message with the details of their appointment. Additionally, a check-in link will be sent 3 hours before the scheduled appointment time.

Deposit Requirement
- A deposit equivalent to 60% of the total service price is required to confirm and secure your notary appointment.
- The remaining balance will be due an hour before scheduled appointment.

Deposit Refund Policy
- Deposits are non-refundable except in the following circumstances:
- The appointment is canceled by Elite Notary, LLC due to unforeseen circumstances or unavailability.
- Elite Notary, LLC is unable to fulfill the service as agreed.

Cancellation
- Online: Log in to your account on our website and navigate to the "My Bookings" section. Select the appointment you wish to cancel and follow the prompts.
- Cancellations: In the event of a cancellation, the deposit is non-refundable.
- Cancellation should be made [24 hrs] before appointment.

Rescheduling
If you need to reschedule your appointment, please notify us at least 24 hours in advance. Rescheduling can be done through the same methods as cancellations:
- Online: Log in to your account on our website and navigate to the "My Bookings" section. Select the appointment you wish to reschedule and choose a new date and time.
- Phone: Call us at (223) 234-8312 or info@eliteenotary.com and speak with a customer service representative.
- Failure to cancel during the proper time frame will result in a 15$ rescheduling fee.

Refund Eligibility
Refunds may be considered in the following circumstances:
- Service was not provided as agreed.
- Errors were made on our part that resulted in the inability to fulfill the service.
- The client cancels the service within a specified time frame before the scheduled appointment.
Refund Process
- To request a refund, please contact us at info@eliteenotary.com within 7 days of the service date.
- Provide your name, contact information, service details, and reason for the refund request.
- Our team will review your request and may ask for additional information if necessary.
- Refunds will be processed within 3-5 business days of approval.

Non-Refundable Services
- Please note that certain services may not be eligible for a refund, including:
- Services that have already been provided.
- Services that were canceled outside of the specified time frame.
- Services where errors were made by the client.

Non-Payment and Appointment Cancellation
Failure to pay the invoice within the specified timeframe may result in the cancellation or rescheduling of your appointment. If the invoice is not paid before the scheduled appointment time, the following actions may be taken:
- Appointment Cancellation: Your appointment will be canceled, and you will be notified via email or phone.

Payment of Travel FeesTravel fees are due an hour before the scheduled appointment. Travel over 50 miles will be included in the invoice. Payment can be made through our secure online payment system or over the phone. Please note that travel fees are non-refundable, except in cases where Elite Notary, LLC must cancel the appointment.

Last-Minute Booking & After-Hours Service Fee Policy
Please be advised that a last-minute booking fee will apply to appointments scheduled with short notice.
Policy Details:
- A last-minute booking & After-Hours fee of $50 will be charged for appointments scheduled less than 24 hours in advance and appointments outside of normal business hours.
- This fee is in addition to the standard Wedding service fee and travel fee over 50 miles.
- The last-minute booking fee is non-refundable and must be paid at the time of booking to secure the appointment.
Exceptions:
- The last-minute booking fee may be waived at the discretion of Elite Notary, LLC for existing clients or under special circumstances.​

Wedding Policy
Booking and Reservations
- Booking Process: To secure our officiant services for your wedding date, a signed contract and a non-refundable deposit are required.
- Availability: We recommend booking our services well in advance to ensure availability on your desired date and time.
- Changes to Ceremony Details: Any changes to the ceremony details should be communicated to us at least [30] days prior to the wedding date.
Fees and Payment
- Fee Structure: Our fees are based on the type of ceremony, location, and any additional services requested.
- Deposit: A non-refundable deposit of 50% is required to reserve our services, with the remaining balance due
[5 weeks] before the wedding.
- Payment Methods: We accept payment via [Visa, Mastercard, Check or any form of credit card].
-All wedding prices are negotiable (within reason).

- Consultation: We offer an initial consultation to discuss your vision for the ceremony, vows, readings, and any other preferences.
- Customization: Your ceremony will be personalized to reflect your unique love story, beliefs, and traditions.
- Rehearsal: A rehearsal can be scheduled if desired to ensure a smooth and well-coordinated ceremony.
Cancellation and Refunds
- Cancellations: In the event of a cancellation, the deposit is non-refundable.
- Cancellation should be made [1 Month] before final preparations.
- Refunds: Refunds for cancellations made after the final payment deadline will be considered on a case-by-case basis.​
- Failure to cancel during the proper time frame will result in a 75$ rescheduling fee.

Payment of Travel Fees
Travel fees will be included in the invoice. Payment can be made through our secure online payment system or over the phone. Please note that travel fees are non-refundable, except in cases where Elite Notary, LLC must cancel the appointment.

Traveling Policy and Fees
To ensure clarity and transparency, we have established the following Traveling Policy and Fees for appointments that require travel of 51 miles or more.
Standard Service Area
Our standard service area includes locations within a 50-mile radius of our main headquaters located in Camp Hill, PA. Travel within this area is included in the standard service fees for ALL services.
Extended Service Area
For clients located beyond the standard service area, additional travel fees will apply. This policy covers appointments requiring travel of 51 miles or more from our main office.
Travel Fee Structure
The travel fees are calculated based on the distance from our main office to the client's location and are charged as follows:
- 51 to 75 Miles:
$50 flat fee
- 76 to 100 Miles:
$75 flat fee
- 101 to 150 Miles:
$100 flat fee
Over 150 Miles:
- Custom quote provided upon request
